How We Grew Automated Meeting Bookings by 74% - And How You Can Too

We implemented AI Studio on our website chat in late November. By February, automated meeting bookings had grown 74%. Here's what changed.

The Problem

Visitors come to your website with intent. The problem is no one is there to engage them in the moment. They poke around, maybe read a page or two, and leave - without ever talking to anyone.

That was our situation at Warmly. Instead of trying to drive more traffic to the site, we decided to convert the traffic we already had. So we built an Inbound Agent and got to work.

Worth naming: your team is offline for 16 hours a day. Qualified prospects don't stop landing on your site at 5pm. The right setup handles that window for you.

The Play

Open AI Studio from your Inbound Agent settings and start with your home page. The key is to treat this like onboarding an SDR - not just turning on a chatbot.

That means defining how it should speak, what tone of voice to use, who it should qualify, and exactly when it should push for a meeting. Then feed it your real content: your product pages, use cases, docs, everything you actually sell. The agent pulls from that to give accurate, specific answers instead of making things up.

From there, you can create as many agents as you need, each with its own knowledge base, persona, and rules:

  • By product line: If you sell multiple products or serve different customer types, give each its own agent. Visitors get answers specific to what they actually came for.
  • For support: Train an agent on your help docs to handle routine questions without pulling in a human. Fewer tickets, faster resolution.
  • For sales and marketing: Build agents around your highest-intent pages - competitors, pricing, specific use cases. Train them to handle objections, surface the right content, and keep conversations moving without a rep in the room.
  • For onboarding: When new customers have questions during setup, an agent trained on your product can answer them in the moment - so your CS team isn't the first line of response for every "how do I do X."

Before any agent goes live, use Test & Train. Ask it questions the way a real visitor would. It generates a response, you click thumbs up if it's good or thumbs down if it's off - and it takes that feedback and generates a new response immediately. Plan two focused days for the first round, then check back in when new edge cases come up.

One thing we'd recommend: ask for the email before handing over the calendar link. You want to know who you're booking with before the meeting lands on a rep's calendar. It's the difference between quality and quantity, and it keeps your pipeline clean.

The Result

Once the agent is trained and the workflow is live, it engages visitors instantly - asks the right questions, qualifies them in real time, and pushes for a meeting when the timing is right. No rep needed.

For us, that meant going from 23 automated bookings in December to 40 in February - a 74% increase in three months, without adding headcount or running any campaigns. The difference wasn't just AI - it was the structure behind it. The way we trained it, the logic we built in, the timing of when it moves the conversation forward.

That's what converts existing traffic. Not more ads, not more headcount  just the right agent, trained the right way.
